Position Description
Representative Duties:
- Assist with administrative details, such as the scheduling, rescheduling, and canceling of staff and contract court interpreters, including interpreters for participants with communication disabilities, for each Middle District of Florida divisional office.
- Prepare and maintain documents, spreadsheets, and correspondence for the Interpreter Services Department.
- Monitor the Interpreter Services’ email box, answer the department phone, and process incoming and outgoing mail for the Court Interpreter Services Department.
- Work closely with the supervisor, staff interpreter, contract court interpreters, attorneys, outside agencies, and court personnel.
- Negotiate with interpreter vendors as to contracted services and purchases and assist with clarifying contract requirements and resolving any conflicts. Create contract paperwork in the court’s automated financial management system (JIFMS) for contract court interpreters for each divisional office.
- Maintain and update a comprehensive contract interpreter spreadsheet.
- Assign and schedule interpreter events for staff and contract court interpreters. Adjust scheduling and assignments as circumstances require.
- Review, reconcile, and process invoices for payment submitted by contract interpreters. Ensure compliance with the fee schedule and contract rates under existing policies and regulations. Create payment authorization transactions in the automated financial management system (JIFMS) for contract court interpreters’ invoices. Serve as a first-level approver responsible for ensuring that all payment requests are legal, proper, and correct.
- Answer routine inquiries, respond to questions, and support the staff and contract court interpreters. Maintain the confidentiality of sensitive information.
Qualifications
Requirements include at least three years of progressively responsible administrative experience which demonstrates the knowledge, skills, and abilities to perform the above-listed duties of this position. Applicants should present a professional demeanor, be detail-oriented, analytical, possess excellent verbal and written communications skills, strong office and organizational skills, and solid computer skills. Knowledge and experience using CM/ECF, Excel and Word is preferred.
