Overview of the Position This Courtroom Deputy II position will be assigned to U.S. District Judge Scott W. Skavdahl in Casper, WY. The incumbent will manage the Judge’s cases by calendaring and regulating their movement, monitoring, and filing of pertinent documents and timely responses to judicial orders, setting or resetting dates and times for hearings, trials, and conferences, and notifying the appropriate parties. This job entails a high level of knowledge and complexity regarding court operations and assists with the orderly flow of court proceedings including, but not limited to, setting up the courtroom, assuring the presence of all necessary participants (including court reporter and interpreters), administering oaths, assisting with the selection of juries, and managing exhibits. The incumbent will take notes of proceedings and rulings and prepares minute entries. They will prepare judgments and other orders for the judge’s review and signature. Dockets orders, judgments, minutes, and notices into the Court’s Case Management/Electronic Case Files System (CM/ECF). Accepts, files, and dockets civil and criminal filings presented in court. This position will report to the Divisional Operations Supervisor. The position may require travel to other offices within the district and accompany the judge in cases outside the district as necessary. This position may occasionally require extended work hours during trials, hearings or special projects.

Position Description

The successful applicant will be responsible for the following duties:

  • Manages Judge’s cases by calendaring, including distributing and monitoring deadlines, monitoring filing of pertinent documents, and timely responses to judicial orders.
  • Calendar and regulate case movement.
  • Serve as primary source of information on scheduling conferences, hearings, trials and other case processes.
  • Arrange travel and prepare travel authorizations and travel vouchers for Judge and Chambers Staff. Audit and review travel vouchers ensuring that policies and procedures are followed.
  • Manage and organize exhibits used in court proceedings, including setting up and troubleshooting electronic evidence presentation systems.
  • Attend court sessions and conferences. Assist with the orderly flow of proceedings including, but not limited to, setting up the courtroom, assuring presence of all necessary participants, and managing exhibits. Take notes of proceedings, rulings, notices, and prepare minute entries electronically.
  • Review cases or reports for necessary actions.
  • Keep Judge and immediate staff informed of case progress. Assist the judge and parties in jury selection and maintain records of jury selection and attendance. Act as a liaison between the Clerk’s Office, the bar, the public and the judge to ensure that cases proceed smoothly and efficiently. Maintain contact with counsel during deliberations.
  • Schedule court reporters and interpreters; process transcripts; arrange for transcriptions; answer questions from parties and the public regarding obtaining transcripts. Refer defendants to probation office as appropriate.
  • Inform jury administrator of upcoming trials, needs for jurors, etc. Draft orders and judgments for the judge’s approval including judgment commitment orders. Docket orders, pleadings, judgments, and minutes as directed by local court policy, utilizing automated systems.
  • Coordinate hearings. Assist in the accurate statistical reporting requirements of the Administrative Office. Review the quality of electronically filed documents, ensuring that all orders and automated entries are appropriately and accurately docketed, and make summary entries on the docket of all documents and proceedings. Take notes of proceedings, rulings, notices and prepare minute entries electronically.
  • Schedule, set up, manage and participate in Zoom, Teams and conference calls.
  • May perform case administrative duties and tasks such as financial transactions.
  • Other duties as assigned.

Qualifications

To qualify for the position of Courtroom Deputy II, the candidate should have a high school diploma or equivalent, and a minimum of two years of clerical or administrative experience and two years of specialized experience. Education above the high school level in accredited institutions may be substituted for general experience on the basis of one academic year equals one year of general experience.

Preferred Qualifications

The successful candidate must have excellent organizational and time management skills. Must demonstrate the ability to learn federal local rules and case processes.

Previous courtroom deputy or paralegal/case administration experience and experience with a variety
of computer software applications (especially legal electronic case management), scanning, and image creation is highly desired. Proficiency in Microsoft Office with a strong proficiency in Word and Adobe Acrobat are required.

The candidate should also have experience working in a team environment and possess a strong work ethic. Knowledge of legal terminology and experience handling sensitive material is preferred. The candidate should possess strong organizational, analytical, verbal and written communication skills.
